Job Description – HR Officer

Reports: Head of Human Resources / HR Manager

Job Purpose:

To provide comprehensive HR support to both corporate staff and drivers within the Fleet Department. The role ensures effective HR operations including recruitment, employee relations, compliance, performance management, and welfare, aligning HR practices with organizational goals.

Key Responsibilities

  1. Recruitment & Onboarding
    • Coordinate recruitment of both corporate employees and drivers (advertising, screening, shortlisting, interviewing).
    • Coordinate with the Fleet Department to identify driver manpower needs.
    • Ensure driver recruitments meet fleet compliance, licensing, and safety requirements.
    • Prepare employment contracts and ensure proper onboarding and induction.
  2. Employee Records & Compliance
    • Maintain accurate HR records for corporate staff and drivers, including contracts, licenses, permits, and certifications.
    • Ensure compliance with labor laws, fleet regulations, and company policies.
    • Track contract renewals, expiries, and driver regulatory requirements (e.g., Driving licenses, medical checks etc).
  3. Employee Relations & Engagement
    • Act as a liaison between management, corporate employees, and drivers to address concerns and grievances.
    • Promote employee engagement activities and welfare programs for both groups.
    • Support conflict resolution, disciplinary cases, and grievance handling fairly and in line with policy.
  4. Performance Management
    • Assist HR Manager on grievances, disciplinary issues, warnings, and terminations in line with company policy.
    • Collaborate with Fleet Supervisors to address driver-related operational concerns.
  5. Payroll & Benefits Administration
    • Provide HR data and reports to HR Manager/Head.
    • Assist in managing leave records and statutory deductions.
  6. HR Reporting & Administration
    • Prepare HR reports (headcount, recruitment, turnover, leave, disciplinary cases, driver status).
    • Provide administrative HR support to the Head of HR and Fleet Department.

Key Skills & Competencies

  • Strong knowledge of labor laws and HR practices.
  • Familiarity with fleet/driver HR management and compliance requirements.
  • Excellent communication and interpersonal skills.
  • Problem-solving and conflict resolution abilities.
  • Strong organizational and record-keeping skills.
  • Proficiency in MS Office and HR systems.

Qualifications & Experience

  • Bachelor’s degree in Human Resource Management, Business Administration, or a related field.
  • At least 3 years’ experience in HR, with exposure to both corporate staff and blue-collar/driver management preferred.
  • Experience in transport/logistics/fleet management HR support is desirable.
