Key Responsibilities:

JOB PURPOSE

This position plays a crucial role in supporting data collection, analysis, and system management to enhance evidence based decision making within the organization. Assist in maintaining data quality, creating basic visualizations, and ensuring the smooth operation of data management systems. The work will involve collaborating with different teams to improve data flows and reporting across different programs and sectors, contributing to the organization’s goal of becoming more data-driven.

MAJOR RESPONSIBILITIES

Activity

Data Analysis & Visualization (30%)

  • Collect, clean, and organize datasets from multiple sources to ensure data accuracy, consistency, and completeness.
  • Conduct descriptive and comparative analyses to identify trends, patterns, and relationships within the data.
  • Use statistical and spatial analysis techniques (e.g. correlation, regression, GIS mapping) to generate insights that inform project decisions.
  • Develop interactive dashboards and visual reports using Power BI, Tableau, or similar visualization tools to communicate key findings effectively.
  • Create infographics, charts, and summary visuals tailored for both technical and non-technical audiences.
  • Collaborate with technical and program teams to interpret analytical results and translate them into actionable recommendations.
  • Maintain and update data visualization tools and databases to ensure timely access to the most recent project insights.
  • Document data analysis processes, visualization methods, and interpretation guidelines to ensure reproducibility and knowledge sharing within the team.

  • High-Quality, Reliable Datasets: Accurate, complete, and up-to-date data are consistently available in Horizon/iMPAQ, GIS platforms, and other organizational systems, ensuring a strong foundation for analysis and reporting.
  • Streamlined and Standardized Data Processes: Data collection, entry, and validation procedures are well-organized, efficient, and compliant with established data management standards and protocols across all programs.

Activity

Data collection and entry (25%)

  • Support the routine collection of data from field teams, program staff, and external sources using tools like Kobo and mWater, ensuring timely submission.
  • Cross-check data entries against source documents to verify accuracy and identify any inconsistencies or errors for correction.
  • Assist in importing and uploading data into organizational systems such as Horizon/iMPAQ, GIS software, and other relevant platforms.
  • Maintain organized records of data files, backups, and documentation to ensure data security and easy retrieval.
  • Update and clean datasets regularly by removing duplicates, correcting errors, and handling missing values to ensure data integrity.
  • Collaborate with program staff to clarify data collection requirements and ensure adherence to data standards and protocols.
  • Support on-site data collection activities, including supervising data entry processes and providing technical assistance to field staff.
  • Assist in designing and improving data collection tools and forms to enhance efficiency and accuracy in data entry

System Support & Maintenance (20%)

  • Assist in the regular maintenance, configuration, and updating of data management systems such as Horizon/iMPAQ, GIS platforms and related databases.
  • Support the setup and management of user accounts, roles, and permissions to ensure secure and efficient system access.
  • Monitor system performance and report technical issues or irregularities to supervisors for timely resolution.
  • Provide first-level troubleshooting and user support for data system errors, connectivity issues, and software malfunctions.
  • Assist in performing system backups, updates, and patch installations to maintain data integrity and operational reliability.
  • Maintain logs of system issues, user requests, and maintenance activities for tracking and reporting purposes.
  • Contribute to the development and updating of user manuals, standard operating procedures, and quick reference guides to support effective system use

Documentation & Reporting (15%)

  • Document data management processes, workflows, and system configurations to ensure consistency and institutional memory.
  • Support the preparation of routine progress reports, data summaries, and performance dashboards for program monitoring and decision-making.
  • Compile and organize datasets, metadata, and analytical outputs into structured documentation for internal reference and audits.
  • Contribute to the development of report templates and visualization standards to improve data presentation and readability.
  • Coordinate with project teams to collect inputs and verify the accuracy of information included in reports and dashboards.
  • Ensure proper version control and filing of all documentation, both in digital and physical repositories, following organizational data governance policies.
  • Support dissemination of key reports and analytical products to relevant stakeholders, ensuring timely communication of findings and updates.

Capacity Building & Coordination (10%)

  • Participate in internal and external training sessions, workshops, and knowledge-sharing events on data management, GIS, and visualization tools.
  • Support the facilitation of user training and coaching sessions to strengthen staff capacity in data entry, reporting, and system utilization.
  • Collaborate with program and M&E teams to streamline data collection and reporting processes across different departments.
  • Coordinate with external partners, government agencies, and community stakeholders to ensure consistency and accuracy in shared datasets.
  • Assist in documenting and sharing lessons learned, best practices, and innovations in data use and system improvement.
  • Contribute to the development of training materials, user guides, and quick reference documents to enhance system literacy among staff.
  • Participate in regular coordination meetings to provide updates on data-related activities and identify areas for system or process improvement.
  • Promote a culture of data-driven decision-making within the team by encouraging knowledge exchange and collaborative problem-solving.

KNOWLEDGE/QUALIFICATIONS FOR THE ROLE

Required Professional Experience

  • Experience:  2 – 3 years of experience
  • Preferred:  Working experience in data analytics and science, statistics, Design & Monitoring, information technology, Geographical Information System and Remote Sensing

Required Education, training, license, registration, and certification

BSc/MSc in statistics, Mathematics or information technology, BSc/MSc in Data Science or other related fields and additional knowledge on Geographic Information Systems (GIS), Geography or related fields will be an added advantage.

Preferred Knowledge and Qualifications

  • Basic computer skills and familiarity with office automation software (e.g., Word, Excel, PowerPoint) and general ICT tools.
  • Exposure to statistical analysis software such as R, SPSS, STATA, or SAS; able to run simple tests and analyses under supervision.
  • Familiarity with data visualization tools like Power BI, Tableau, or Looker; able to create basic charts and dashboards.
  • Basic understanding of data modeling or querying tools (e.g., SQL, PG, IBM tools) and relational databases.
  • Introductory knowledge of GIS software (e.g., ArcGIS, ArcGIS Online) and basic experience with image processing tools (e.g., ENVI, ERDAS Imagine) is desirable.
  • Must be a committed Christian, able to stand above denominational diversities.
  • Attend and participate in daily devotions and weekly Chapel services.
  • Performing other assigned duties as required and learning on the job.

Travel and/or Work Environment Requirement

  • Work environment:  Office-based with frequent travels to the field
  • Travel: 30% Domestic/international travel is required.
  • On call: 5%
