Position Overview
Africarriers Limited is seeking an experienced and highly professional Personal Assistant (PA) to provide comprehensive administrative, secretarial, and organizational support to our CEO. This role is crucial for enabling the CEO to focus on strategic priorities by acting as the primary point of contact for all internal and external stakeholders. The ideal candidate will be a proactive problem-solver who can manage a fast-paced environment with the utmost professionalism and discretion.
Key Responsibilities
- Executive Support: Efficiently manage the CEO’s calendar, including scheduling meetings, appointments, and travel arrangements. Screen, prioritize, and respond to all communications on the CEO’s behalf. Prepare, edit, and review a variety of documents, reports, and presentations, ensuring the CEO is fully prepared for all engagements with necessary briefing materials.
- Communication & Liaison: Serve as the first point of contact for all stakeholders. Professionally and promptly liaise with senior management, staff, clients, and partners. Draft and manage official correspondence, meeting minutes, and internal reports as directed.
- Administrative Management: Maintain and organize confidential records and files. Handle expense reports, reimbursements, and other administrative tasks for the CEO’s office. Assist in planning and executing company events, conferences, and board meetings.
- Confidentiality & Professionalism: Handle all sensitive and confidential matters with extreme discretion and integrity. Consistently uphold the highest standards of professionalism as a representative of the organization and the CEO.
Qualifications & Requirements
- A Bachelor’s degree in Business Administration, Management, Communications, or a related field is preferred.
- A minimum of 3-5 years of proven experience as a Personal Assistant or Executive Assistant, preferably supporting senior executives.
- Excellent organizational skills, with the ability to multitask, manage time effectively, and work under pressure with minimal supervision.
- Exceptional written and verbal communication skills.
- Proficiency in Microsoft Office Suite, including Word, Excel, PowerPoint, and Outlook.
- A high level of professionalism, resourcefulness, and attention to detail.
